Virtual Success Solutions (“VSS,” “we,” “us,” “our”) uses artificial intelligence (“AI”) tools to support productivity, quality, and turnaround times for client deliverables. This policy explains how we use AI, how we protect information, and what clients can expect.

1) Why We Use AI

AI may be used to help us:

Brainstorm ideas and outlines

Improve clarity, grammar, and readability

Create drafts for marketing copy, content, templates, and workflows

Summarize notes or organize information you provide

Speed up repetitive tasks while keeping quality high

Important: AI does not replace human work at VSS. All client deliverables are reviewed and refined by a VSS team member before delivery.

2) How We Use AI (Examples)

Depending on your service package, we may use AI tools in tasks such as:

Website copy drafts and revisions

SEO meta drafts (titles/descriptions) and content structuring

Social media captions and content planning

Email marketing drafts

Internal SOP/checklist creation

Basic data organization and formatting (non-sensitive)

3) What We Do Not Do

Unless you explicitly request and approve it in writing, we do not:

Submit private client data into AI tools if it contains sensitive personal information (see Section 4)

Use AI to make legal, medical, financial, or compliance decisions

Represent AI output as final without human review

Use AI to create work that violates copyright, licensing, or brand ownership rules

4) Sensitive Information

To protect clients, VSS treats the following as sensitive and does not input it into AI tools unless you give written permission and it’s necessary for the project:

Social Security numbers, driver’s license/passport details

Banking, credit card, or payment processor credentials

Patient information or medical details (including HIPAA/PHI)

Background checks, HR records, or highly confidential internal documents

Passwords, MFA codes, or private system credentials

If a project requires working with sensitive information, we will use secure methods and approved platforms rather than AI tools.

5) Client Data, Privacy, and Security

We take reasonable steps to protect your information and maintain confidentiality. When AI is used:

We use it primarily for drafting and productivity support

We limit inputs to what is necessary for the task

We avoid sharing confidential business details whenever possible

We follow client confidentiality expectations as outlined in our service agreement

6) Accuracy + Responsibility

AI can sometimes produce incorrect or incomplete information. VSS reviews content, but clients are responsible for:

Final approval of brand messaging, claims, and public-facing content

Confirming industry-specific requirements, disclaimers, and compliance needs

Verifying factual statements (e.g., statistics, dates, product claims) before publishing

If you want, we can include a “fact-check and citations” step as an add-on for content that needs extra verification.

7) Your Choices (Opt-Out / Preference)

We respect client preferences. You may:

Request no AI use on your deliverables

Request AI-assisted drafting only (with human rewrite)

Approve AI use for specific tasks and exclude it for others

To set your preference, email or message us with: “AI Preference: [your preference]” and we’ll document it for your account.

8) Ownership of Work

Unless otherwise stated in your agreement:

Final deliverables provided by VSS are yours to use for your business

We do not claim ownership of your brand assets, proprietary processes, or client-provided content

Any third-party tools (including AI platforms) remain subject to their own terms

9) Policy Updates

We may update this policy as tools and best practices evolve. The newest version will always be posted on this page with the updated effective date.
